TO INSERT A SONG THAT PLAYS THROUGHOUT YOUR PRESENTATION
POWERPOINT INSTRUCTIONS for TIMING, SOUNDS, & HYPERLINKS
I. To Set Transitions For Your Presentation *

I. TO SET TRANSITIONS FOR YOUR PRESENTATION
- Go to SLIDE SORTER view using the ICON or the VIEW menu.
- Click on the slide you want to set transitions or timing for.
- In the box that says NO TRANSITION, click on the down arrow and choose the way you want your slide to come in when it shows.
- The next box says NO EFFECT. It is the TEXT transition. Select the way you want your text to come in.
II. TO SET TIMING FOR YOUR SLIDES
- Click on the slide you want to time
- Click on the SLIDESHOW MENU
- Choose SLIDE TRANSITION
- Click in the box next to AUTOMATICALLY and then type in a number of seconds you want.
- Click APPLY to set the timing for this ONE SLIDE or click APPLY TO ALL to choose this time for all slides. WARNING: The transition selected will ALSO apply to ALL slides if you choose APPLY TO ALL, so if you have already selected different transitions for each slide, use APPLY instead of APPLY to all and then set the timing for each slide separately. (Slide Times will appear under each slide.)
III. TO INSERT A SONG THAT PLAYS THROUGHOUT YOUR PRESENTATION
- Get on the slide you want the music to start on. This will probably be your first slide.
- Choose INSERT Menu
- Choose MOVIES & SOUNDS
- Choose SOUNDS FROM FILE (If no sounds show, click down arrow & Common Drive, Sounds Folder)
- Insert Sound (Pick one that has music notes as the icon. The other ones are just short sounds)
- Make sure sound is selected and go to SLIDE SHOW Menu
- Choose CUSTOM ANIMATION
- Go to TIMING Tab
- Click on each item that is not animated and make it animate, automatically after 0 seconds
- When all items are up in the top right "animation order" window, use the arrows to put them in the order you want them. The MEDIA is your sound item and should probably be first if you want the sound to start right away when the slide comes up. When you click on each item, the preview window shows you which one you are clicking on.
- Click once on the Media item
- Go to the EFFECTS tab
- For entry animation and sound, choose FLASH ONCE FAST (this will keep the little speaker icon from showing while your presentation is playing)
- While the MEDIA item is still selected, go to the PLAY SETTINGS tab
- Choose PLAY USING ANIMATION ORDER
- Choose CONTINUE SLIDE SHOW
- Through 15 slides (even though you only have 10 slides, I always put a few more than I have. If you only want it to play for a few slides, just put that number in.
- Click the MORE OPTIONS button
- Click on LOOP UNTIL STOPPED. This will make sure the song starts over if it finishes before your presentation is over.
- Now when you start on the slide with the sound and play your presentation using the Movie Screen Icon or the VIEW menu and SLIDE SHOW, your music should start playing and play throughout the presentation or as long as you told it to play.
IV. TO MAKE TEXT OR A PICTURE PLAY A SOUND WHEN YOU CLICK ON IT IN THE PRESENTATION.
- Insert the text or sound you want to link to a sound.
- Select it (highlight text or click once on picture)
- Go to SLIDE SHOW menu
- Choose ACTION SETTINGS
- Click on the PLAY SOUND box
- Click the down arrow to choose a sound
- If you don’t see the sound you want listed, choose OTHER SOUND
- There will be some other sounds shown there.
- If you don’t see other sounds listed, use the down arrow by LOOK IN and choose the Common Drive and choose the SOUNDS folder.
- Now, when you are actually showing your slideshow, if someone clicks on that text or picture, the sound you chose will sound. Make sure you leave enough time on that particular slide for people to click.
- Also, for that slide you will need to:
- Make sure you leave plenty of time on this slide so people have time to click on your picture or text.
- Give directions on the slide about where to click.
V. TO HAVE A SLIDE COME IN WITH A SOUND: (Don’t do this if you already have a sound playing throughout the show.)
- SLIDE SHOW menu
- SLIDE TRANSITION
- Under SOUND, choose down arrow to choose a SOUND
- Choose OTHER SOUND if you don’t see one you like
- Sounds are listed under COMMON DRIVE, SOUNDS
- APPLY does one slide, APPLY TO ALL does all slides but also uses the transition settings you have picked for all slides, too so be careful about choosing APPLY TO ALL.
VI. TO INSERT A HYPERLINK (i.e. To make the text or picture go to another slide when you click it)
- Select the text by highlighting or select the picture by clicking once on it
- Go to INSERT menu
- Choose HYPERLINK (last choice)
- Ignore the first blank (Link to URL) but go down to the second blank where it says NAMED LOCATION in FILE (optional) and click the BROWSE button
- You will see a list of the slides in your presentation.
- Click the one you want this text or picture to link to
- Say OK to select
- Say OK again to finish
- Now your text will be underlined since it is now a hyperlink. When you run the presentation, if someone clicks on this text it will go to the slide you selected.
- Also, for that slide you will need to:
- Make sure you leave plenty of time on this slide so people have time to click on your picture or text.
- Give directions on the slide about where to click and why.
VII. TO ADD AN ACTION BUTTON AS A HYPERLINK
- Choose SLIDESHOW menu
- Choose ACTION BUTTONS
- Choose a button (for HOME button, choose the little house)
- An ACTION SETTINGS window will pop up
- Click the button next to HYPERLINK TO if it isn’t already selected. If you have chosen a HOME button it will already have chosen FIRST SLIDE as your hyperlink to
- Click the DOWN ARROW
- Choose the word SLIDE
- A list of your SLIDES will come up
- A HOME button should normally link to your table of contents or first slide. Right arrow buttons should go to NEXT SLIDE and left arrow buttons should go to PREVIOUS SLIDE
- Pick the appropriate slide to link to and choose OK
- Choose OK again to finish
- Also, for that slide you will need to:
- Make sure you leave plenty of time on this slide so people have time to click on your picture or text.
- Give directions on the slide about where to click and why.
